Position Title: Church Administrator

Supervises: Office support staff (Clerical, Communications, IT) and Maintenance Staff
Salary Range: 60k+
Position Summary: Oversees office support staff; human resources, and manages all financial functions of the church.
Responsibilities:
Manage Operations and Human Resources
- Maintain smooth functioning front-office staff as contact point for members and public
- Support Pastoral and Program staff ministries and initiatives
- Work with Trustees to manage building, property, and security.
- Ensure that our staff, property, and financial resources are used effectively, safely, and wisely to support the ministries of Highland
- Manage purchasing---general church, staff requests, and committees
- Assure effective, regular communications with church members, Session, and staff
- Attend Finance, and Trustees meetings and provide support as needed.
- Oversee and maintain office systems, IT, security system, equipment, contracts, insurance, suppliers, repairs and upgrades, and church files
- Administer benefits and policy handbook for all employees per direction from the Personnel committee
- Ensure that personnel files are current and in compliance with state and federal laws
- Perform other duties as assigned by the Senior Pastor/ Head of Staff
Manage All Accounting/Database Functions
- Serve as primary contact and coordinator of CPA services
- Understand, advise, and troubleshoot ACS database operations (assisted by IT)
- Monitor and control access to ACS and confidential member/staff information
- Provide financial reports as requested (PCUSA, staff, councils, and committees)
- Develop more efficient data processing using ACS “Connections”
- Oversee accounts payable and receivable functions and manage the pledging process
- Manage and reconcile all bank accounts monthly, including brokerage accounts
- Provide monthly financial statements to committees and councils.
- Provide quarterly statements of giving and donations to congregation.
- Provide periodic budget reports and other financial services to committees
- Oversee payroll and related functions utilizing CPA firm as needed
- Conduct transactions and acknowledge monetary, stock, and in-kind gifts to the church
- Work with Stewardship (and Campaign) committees to facilitate church fundraising
- Work with Finance/Budget committees to facilitate annual Budget process
- Stay current with PCUSA Board of Pension requirements, represent Highland at professional associations, and initiate job training as required.
- Ensure that cash from collections is handled and deposited responsibly and on time
- Approve routine expenditures.
- Oversee donations of stock transfers
Knowledge and Skills Desired
- Minimum of 5 years of administrative or related experience preferred
- Financial literacy; proficient in reading, understanding, and communicating financial statements, planning budgets, general understanding of non-profit or church finances, knowledge of general bookkeeping
- Excellent leadership, planning, and organizational skills as it relates to the day to day administration of a large church office
- Excellent written, verbal and interpersonal communication skills, including the ability to communicate respectfully and professionally under a variety of situations
- A helpful, cheerful, diplomatic. and caring servant attitude to all
- Experience/skill in defining and implementing efficient administrative processes
- Attention to detail and ability to follow-up as well as manage multiple projects at once
- Self-starter who can anticipate, initiate, and complete tasks with minimal supervision
- Sensitivity to confidential matters
- Proficient in Microsoft Office suite (Word, Excel, Outlook) and Google Suite (Google Drive, Gmail, Google Docs)
- Familiarity with ACS Technologies
Expectations: It is expected that the Office Administrator be familiar with and supportive of Highland’s Christian faith tradition, vision, and mission. This person will be supportive of the total ministry of the church through appropriate cooperation with other staff and with church members. The intent is to create a collegial ministry to the congregation, preparing Highland members for discipleship, equipping them to serve Jesus Christ.
